If Vinyl isn’t automatically joining your scheduled Zoom meetings, it’s usually due to calendar issues, meeting settings, or permissions. This guide will help you troubleshoot and fix the issue.
Check That the Meeting Is in Your Calendar
Vinyl only joins scheduled Zoom meetings that appear in your connected calendar. If the meeting was created manually in Zoom but wasn’t added to your calendar, Vinyl won’t detect it.
Open your Vinyl dashboard and check if the meeting appears under upcoming recordings.
If it’s missing, confirm that your Zoom account is linked to a calendar that Vinyl can access.
If your calendar isn’t syncing correctly, try disconnecting and reconnecting your calendar in Vinyl’s settings.
Review Your Zoom Meeting Settings
Some Zoom settings can prevent Vinyl from joining your meetings:
Waiting Room is enabled – If your meeting has a waiting room, Vinyl will be held there until admitted manually. Check the Participants list and admit Vinyl Recording Assistant if it’s waiting.
Meeting passcode is missing – If your Zoom meeting requires a passcode, make sure the meeting invite includes it.
Authentication settings are blocking Vinyl – If your meeting is set to "Only authenticated users can join," change it to allow external participants or add [email protected] as an approved user.
If you recently changed your Zoom security settings, try updating them and resending the invite.
Ensure Your Zoom Account Is Connected Properly
If Vinyl isn’t joining meetings despite the correct settings, your Zoom integration may need to be refreshed.
Go to Integrations in Vinyl.
Check if Zoom is listed as Connected.
If not, click Reconnect Zoom and follow the prompts.
If your Zoom password was changed recently, you may need to disconnect and reconnect the integration to refresh permissions.
Manually Add Vinyl to an Active Zoom Meeting
If Vinyl hasn’t joined your meeting automatically, you can add it manually:
Open your Vinyl dashboard.
Click Create Ad-Hoc Meeting.
Paste the Zoom meeting link.
Click Create to add Vinyl to the meeting.
This will start a new recording session for that meeting.
