Vinyl's integration with FYI helps keep your client records and meeting documentation tightly connected. Once set up, it syncs your FYI client data into Vinyl, links meetings with the right contacts, and pushes a summary of completed meetings back into FYI.
What the FYI Integration Does
When connected, Vinyl and FYI work together to:
Import clients, contacts, and groups from FYI into Vinyl
Create a meeting record in FYI after each meeting ends, linked to all relevant client files
Include a direct link to the Vinyl recording in each FYI meeting note
Sync FYI data regularly (currently once every night), so updates to clients and contacts may take some time to appear
How to Connect FYI to Vinyl
To get started, go to Integrations in the left-hand menu of your Vinyl account.
Find FYI and click Connect. You'll be prompted to enter your FYI Access Key and FYI Secret Key.
On a different tab, log in to FYI and go to Automation → Apps, scroll to the Vinyl App section, and click the gear icon.
Copy both the Access Key ID and Secret Key ID.
Return to Vinyl and paste both keys into the fields provided and click Submit to finish setup.
Once connected, Vinyl will start syncing FYI data and linking meetings automatically.
Vinyl currently supports one active practice management integration at a time. If you're already connected to Karbon or Xero Practice Manager (XPM), you'll need to disconnect that before connecting FYI.
Auto-sync vs Manual Sync, which should you use?
New FYI connections default to manual sync. When you connect FYI to Vinyl, auto-sync is turned off by default. Manual sync is the recommended path for most accounting firms — it gives you full control over where each meeting is filed, which matters when clients have multiple entities, trusts, or related records.
Vinyl matches meetings to client records using attendee email addresses. If a client email is shared across multiple entities (joint returns, a bookkeeper managing multiple clients), auto-sync can file a meeting against multiple records or the wrong one. With manual sync, you choose exactly where each meeting lands.
If you connected FYI before May 2026, your existing auto-sync setting is unchanged. You can check and adjust it at any time in Integrations → FYI settings.
How to turn auto-sync on or off
Go to Integrations in Vinyl.
Open your FYI integration settings.
Toggle Automatic Sync on or off.
How to manually sync a meeting to FYI
Open the completed meeting in Vinyl.
In the FYI sync section, use the dropdown to select the specific client or entity you want to file it to.
Click Sync. The button will turn green once it's done.
If you need to re-file a meeting to a different client, you can re-sync at any time. You'll see a confirmation prompt explaining that re-syncing to a different client will create a new document (rather than overwriting the original). Re-syncing to the same client will overwrite the existing document.
Where to find the meeting in FYI
Once synced, the meeting note appears under the client record in FYI. You can find it in the Documents tab. The note includes the meeting overview, key discussion points, action items, and a link back to the full Vinyl recording.
Common Questions
Does every team member need to connect FYI individually?
No. FYI connects at the firm level, not per user. One person (usually a practice manager or admin) connects the firm's FYI account once via the Integrations page, and that covers the entire team.
Why did my FYI integration disconnect?
FYI can appear disconnected for a few reasons:
Keys were regenerated in FYI — if your FYI Access Key or Secret Key was refreshed, the existing connection will break and you'll need to reconnect using the new keys.
A different integration was connected — connecting Karbon or XPM will replace your FYI connection, as Vinyl only supports one active integration at a time.
Session or permission change in FYI — changes to your FYI account permissions can occasionally cause a disconnection.
Switching from FYI to another integration? Remove synced data first
If you're planning to disconnect FYI and connect a different PM system, we recommend removing your synced FYI data before reconnecting. When you click Disconnect, Vinyl will give you the option to remove all contacts, clients, and groups that were synced from FYI. Will my clients re-import after reconnecting?
Yes. After reconnecting, Vinyl will re-sync your FYI client data. The sync runs nightly, so your clients and contacts should appear within 24 hours. If nothing has appeared after 24 hours, reach out to the support team.
