Vinyl is designed to help you keep client data organised in a way that fits how accounting and bookkeeping practices work.

Whether you're managing a single entity or a group of related clients, Vinyl gives you the structure to keep everything clear and connected.

How Clients Are Structured in Vinyl

Vinyl organises client data into three key layers, similar to what you’d see in practice management tools like XPM or FYI:

  • Client Groups: These are used to group related clients under one structure. For example, a parent company or family group. One group can contain multiple clients.

  • Clients: These are the individual entities or businesses you work with. A client can belong to a client group and will typically have meetings and records tied to them.

  • Contacts: These are the people you meet with. Contacts can be assigned to one or more clients.

This setup allows for flexibility, whether you're working with standalone clients or managing multiple entities under a single group.

How Contacts Sync with Clients

When you connect your calendar to Vinyl, any contacts included in your scheduled meetings are automatically pulled into Vinyl. From there, you can:

  • Assign the contact to an existing client

  • Create a new client and assign the contact

  • Organise clients under a client group if needed

If you're using a practice management tool like XPM or FYI, Vinyl will automatically sync client data between platforms. This keeps your records aligned without any manual effort.
