Client groups in Vinyl help you organise related clients under one shared umbrella. This is especially useful when working with multi-entity clients, family groups, or shared business units. You can group clients together, manage members, remove clients, rename the group, and see all meetings associated with that group.
Adding Clients to a Group
Go to the Clients panel by clicking the icon with two overlapping people on the left-hand taskbar.
You’ll land on the Client section by default.
Click on the Group tab located beside Client under “All Clients.”
To create a new group, click the red New Group button in the top right. Enter the name of your new group and click on create group to save.
To add a client to a group, click the group name and navigate to the Clients section below the group name.
Click Assign Client (red button with a plus sign), select the client(s) you want to add, and confirm by clicking Assign Client.
Adding Contacts to a Group
Once you’re inside a client group:
Click the group name you want to manage.
Go to the Members section just below the group name.
Click Add Member in the top right.
Select the contacts you’d like to add, then click Add to confirm.
Any contacts added here will be visible under the group as shared members from their associated clients.
Removing a Client from a Group
There are two ways to do this:
Option 1: From the Group Page
Go to the Clients panel and open the Group section.
Click the group that contains the client you want to remove.
Hover over the client name without clicking.
A red Remove button will appear on the far right.
Click Remove and confirm the action.
Option 2: From the Client Page
Go to the Clients section and click on the client.
In the Details section, look for the Client Groups field.
Click the red button with an "x" that says remove client next to the group name to remove the client from that group.
Renaming a Group
Go to the Clients panel and click on the Group section.
Select the group you want to rename.
Go to the Details section.
Enter the new name in the Group Name field and click Save Changes.
Viewing All Meetings Across a Client Group
Go to the Clients panel from the left-hand taskbar.
Navigate to the Group section and select the group you want to review.
Click on the Meetings tab.
You’ll see all past and upcoming meetings that include members of the clients in that group. Meetings are sorted by month, and you can click into a past meeting to view the summary or check the upcoming meeting details and attendees.
Client groups are a powerful way to bring structure and visibility to multi-entity relationships. Use them to streamline meetings, assign shared contacts, and keep your work neatly organised.
