Managing Contacts, Clients, and Groups in Vinyl

Client groups in Vinyl help you organise related clients under one shared umbrella. This is especially useful when working with multi-entity clients, family groups, or shared business units.

Keeping your directory up to date in Vinyl helps ensure your meetings are properly linked, shared, and filed. Here’s how to add new contacts and organise them into clients and groups.

Add a New Contact

  • From your Vinyl dashboard, click Clients in the sidebar.

  • Select the Contacts tab.

  • Click the New Contact button.

  • Enter the contact’s name, email, and phone number.

  • Click Create Contact to save.

💡 Use accurate email addresses, Vinyl uses these to match attendees in meetings.

Add Contacts to a Client

  • In the Clients tab, select the client you want to update.

  • Click the Members tab.

  • Click Add Member.

  • Select the contact you want to add from the dropdown.

  • Click Add to confirm.

💡 You can choose as much contacts as you want to add to a Client.

Add Contacts to a Group

  • Head to the Groups tab under Clients.

  • Choose the group you want to manage.

  • Click the Members tab.

  • Select Add Member.

  • Choose the contact, then click Add.

Remove a contact from your Vinyl account

If a contact no longer needs to be in your Vinyl workspace, you can delete them completely.

  • From your Vinyl dashboard, click Clients in the sidebar.

  • Open the Contacts tab.

  • Click the name of the contact you want to remove.

  • Select the three dots (…) in the top-right corner.

  • Choose Delete [contact name].

  • Click Delete to confirm.

Remove a Contact from a specific Client

This option keeps the contact in your Vinyl account, but removes them from a particular client’s member list.

  • From your Vinyl dashboard, click Clients in the sidebar.

  • Open the Clients tab.

  • Select the Client you want to update, then go to the Members tab.

  • Find the contact you want to remove and click the red “x” beside their name.

  • Click Remove to confirm.

Remove a contact from a group

If you only want to unassign a contact from a group (but keep them in Vinyl), follow these steps:

  • From your Vinyl dashboard, click Clients in the sidebar.

  • Open the Groups tab.

  • Select the group you want to update, then go to the Members tab.

  • Find the contact you want to remove and click the red “x” beside their name.

  • Click Remove to confirm.

Rename a contact in Vinyl

  • From your Vinyl dashboard, click Clients in the sidebar.

  • Open the Contacts tab.

  • Click the name of the contact you want to update.

  • Select Update details.

  • Edit the contact’s name or add a phone number.

  • Click Save changes to apply your update.

Rename a client in Vinyl

  • From your Vinyl dashboard, click Clients in the sidebar.

  • Open the Clients tab.

  • Select the client you want to rename.

  • Go to the Details tab.

  • Update the client’s name, or assign them to a group if needed.

  • Click Save changes to confirm.

Rename a group in Vinyl

  • From your Vinyl dashboard, click Clients in the sidebar.

  • Open the Groups tab.

  • Click the group you want to rename.

  • Go to the Details tab.

  • Update the group’s name.

  • Click Save changes to confirm.
