Managing your team in Vinyl is simple. Whether you're onboarding a new team member or updating access, it's easy to manage your team from your dashboard.
Add a team member
Click My Settings in the left-hand menu of your Vinyl dashboard.
Under the Invitations tab, click Invite Members.
Enter the email address of the person you'd like to add, then hit Invite.
They'll receive an email with instructions to join your Vinyl team.
Remove a team member
Click My Settings in the left-hand menu of your Vinyl dashboard.
Under the Members tab, choose the team member you want to remove from your team.
Click the three dots (⋯) next to their name and select Remove Member.
Click Remove to confirm deletion.
This will permanently remove the contact from your Vinyl account.
Change a Team Member's Role in Vinyl
Only your team's current Master Admin can update user roles in Vinyl. If you need to assign someone else as Master Admin or update a team member's access level, follow these steps:
Log into your Vinyl account and click My Settings from the left-hand menu.
Open the Members tab.
Find the person whose role you want to update.
Click the three dots (⋯) next to their name, then choose Edit.
Select the new role from the dropdown, then click Save to confirm.
Reset MFA for a team member
If a team member is locked out of Vinyl because they've lost access to their authenticator app, the Master Admin can reset their MFA directly — no need to contact support. Additional scenarios include losing access to a 2FA device or codes, such as after replacing a phone, or being unable to find Vinyl in the authenticator app. In such cases, the Master Admin can reset the MFA, and the team member will need to re-enroll their authenticator during the next login.
Click My Settings from the left-hand menu
Open the Members tab
Find the team member who is locked out
Click the three dots (⋯) next to their name
Select Reset MFA
Confirm the action
The team member will be signed out of all active sessions and prompted to set up their authenticator again on next login. Only the Master Admin can perform this action. During the re-enrollment process, the team member should follow the on-screen instructions to set up their authenticator app again. This ensures continued access to their Vinyl account.
⚠️ Things to keep in mind
Only Master Admins can add or remove users.
Only Master Admins can reset MFA for team members.
Team members will share the same hours and access based on your subscription.
If a new user sees a "trial expired" message, it's likely they haven't accepted their invite yet.- Two-factor authentication (2FA) is mandatory for all Vinyl accounts.
Vinyl may appear under an alternate name, such as "AWS Incognito," in authenticator apps.
