In Vinyl, any team member,not just the master admin,can add members to a client. However, there are a few important conditions to be aware of, especially if you're using practice management integrations like FYI, Karbon, or XPM.
When can you add members to a client?
You can manually add team members to a client as long as that client is not synced from an integration. If the client was created directly in Vinyl (e.g. not pulled in from Karbon, FYI, or XPM), you’re free to:
Add or remove members
Update client information
Manage visibility across your team
When can't you add members to a client?
If the client is synced from FYI, Karbon, or XPM, Vinyl respects the client data structure managed by those tools. This means:
You won’t be able to add or edit members from within Vinyl
Client member access is handled by your practice management system
You should make any membership updates in Karbon, FYI, or XPM, and Vinyl will reflect those changes automatically
Clients synced from an integration will be labelled in the Vinyl client record. If you see a tag like “Synced from Karbon”, you’ll know changes need to be made in the source system, not Vinyl.
