How Vinyl Maps Meeting Data into FYI

Vinyl’s FYI integration is designed to automatically match meeting records with the correct contact, client, or group in your FYI workspace, as long as the right contact data is in place.

Contact Mapping Logic

Vinyl pulls in your contact directory from FYI and keeps it up to date. This includes:

  • Clients

  • Individual contacts

  • Groups

When a meeting happens, Vinyl checks the attendee list and matches email addresses to contacts inside FYI. Based on these matches, it decides where the meeting belongs.

Matching rules:

  • The primary match is made using the attendee’s email address.

  • Vinyl looks across all contacts listed under a client in FYI, not just the main contact.

  • If multiple people from the same client attend, Vinyl associates the meeting with that client automatically.

  • This logic respects FYI’s group and individual contact structures, ensuring accurate filing every time.

What If There’s No Match?

If Vinyl can’t match any attendees to an FYI contact:

  • The meeting won’t be filed into FYI.

  • There’s currently no manual 'push to FYI' button in Vinyl.

  • The sync happens automatically, so Vinyl needs clean, accurate contact records in FYI to work properly.

If this happens regularly, it may be worth reviewing your FYI contact data to make sure all relevant people have the correct email addresses listed.

Keeping your FYI contact data clean is the best way to make sure meetings land where they should.
