Contacts not appearing in Vinyl after Karbon sync

If your contacts are missing in Vinyl after connecting Karbon, it might be related to how contacts are structured in Karbon.

When Vinyl syncs with Karbon, it imports three types of information:

  • Clients (organisations)

  • Contacts (people)

  • The relationships between those contacts and clients

This structure allows Vinyl to correctly link meetings, attendees, and records to the right client.

Understanding contacts vs contact details in Karbon

In Karbon, there is an important difference between contact details and contacts.

Contact details are pieces of information stored directly on an organisation's record, such as an email address or phone number. These describe how to reach the organisation itself.

Contacts, however, are individual people. For example, someone like John Smith or Jane Doe. These are created as separate records in Karbon and then linked to an organisation.

Vinyl only syncs contacts that exist as individual people records in Karbon. If your client records only contain contact details but do not have people created and linked as contacts, Vinyl will import the organisation but no individual contacts will appear.

How to make contacts appear in Vinyl

To ensure contacts sync correctly:

  1. Create individual contact records in Karbon for each person.

  2. Link those contacts to the relevant client or organisation.

  3. Allow the integration time to sync the updated records.

Once contacts are created and associated with clients in Karbon, they will automatically sync through to Vinyl.

How sync works β€” and how to get new contacts to appear

The Karbon integration syncs automatically on an ongoing basis. There is no manual "resync" button β€” new contacts and updates you make in Karbon will appear in Vinyl automatically after the integration processes the changes.

If a contact is not appearing after some time, check the following:

  • The person exists as an individual contact record in Karbon (not just as contact details on an organisation).

  • The contact is linked to a client or organisation in Karbon.

  • Any updates were made in Karbon, since Vinyl follows the data from the source system β€” changes made directly in Vinyl will not persist if they conflict with what is in Karbon.
