Manually Control Sharing for a Meeting

You can override Smart Share for any individual meeting. This sets the meeting's visibility directly, regardless of how Smart Share would classify it.

Manual overrides are permanent for that meeting, once set, Smart Share will not change it back.

How to change a meeting's visibility?

Click the visibility pill on the meeting (visible in the meeting detail view, meetings list, recordings, and schedule). A dropdown will appear with two options:

  • Private β€” only attendees and users with explicit meeting permission can see it.

  • Shared β€” visible to active team members after the meeting date has passed.

Who can change visibility?

Not every team member can do this:

  • Master Admin can change a meeting from shared to private.

  • Users with explicit meeting permission (owner, editor, viewer) can change visibility in either direction.

If you don't have permission, the pill will be visible but not clickable.

What to know?

Manual overrides take precedence over Smart Share. If Smart Share is on and would normally share a meeting, a manual "Private" override keeps it private and vice versa.

Even manually shared meetings only become visible to non-attendees after the meeting date has passed.

Overrides cannot be removed through the UI. Once you manually set a meeting's visibility, it stays that way unless someone changes it to the other option.

Overrides are per-meeting. They do not affect your team's Smart Share setting or any other meeting.
