My Karbon notes aren't appearing after meetings

After a meeting, Vinyl automatically sends notes and action items to the matching Karbon contact. Occasionally, notes may not appear β€” usually because of a small mismatch that's easy to resolve.

Before contacting support, check these two things:

1. Is the contact email the same in both places?
Vinyl matches meeting participants to Karbon contacts using email addresses. If the email on the calendar invite is different from the email in Karbon (e.g. a nickname vs. full name), the match won't happen.

  • Open the meeting in Vinyl and check the participant email addresses

  • Open the contact in Karbon and confirm the email matches exactly

2. Did the meeting fully process?
Notes can only be sent once your meeting has finished processing. Check the meeting status in Vinyl β€” if it shows anything other than "complete", the notes may still be on their way.

If everything looks correct but notes still aren't appearing, reach out to our support team with:

  • The name of the meeting

  • The date and time it occurred

  • The Karbon contact you expected it to appear on
