Adding, removing, and updating team members

Managing your team in Vinyl, including adding new members, removing people who have left, or updating email addresses, can be done through your account settings or with help from our support team.

Adding a new team member

Go to Settings → Invitations and use the Invite Member button. Enter their email address and they'll receive an invite to join your Vinyl workspace.

If you see an error when sending the invite, contact our support team with the email address and we'll resolve it within 2 hours.

Removing a team member

Go to Settings → Members, find the member you want to remove, and select Remove Member. Their access will be revoked immediately.

If you need multiple members removed at once, contact support with the list of names or email addresses and we'll take care of it.

Updating a team member's email address

Email address changes need to be handled by our support team to ensure recordings and data stay linked to the right account.

Contact us with:

  • The current email address

  • The new email address

We respond within 2 hours and will confirm once the update is complete.

Team member vs guest access and how to upgrade a guest

Vinyl has two types of access for people joining a meeting or workspace:

Guests are people invited to a specific meeting only. They can view that individual meeting but cannot access the broader workspace, clients, contacts, or team settings. Guests do not appear under Settings → Team.

Team members have full access to the workspace based on their assigned role.

If someone in your team was added as a guest and needs full team member access, follow these steps:

  1. Go to Settings → Team.

  2. Click Invite Member and enter the person's email address.

  3. They will receive a new invite to join as a full team member.

  4. Once they accept, their access will update automatically.

If the person already has a pending invite, go to My Settings → Members, find their name, click the three dots (⋯), and select Resend Invite.
