How to find your Vinyl notes in FYI

How to locate and open synced meeting notes in FYI, understand the sync badge, and handle out-of-sync meetings.

Once Vinyl has synced a meeting, the note will appear on the client record in FYI. Here's how to find and open it.

Via Recent Documents (quickest way)

  1. Open the client record in FYI.

  2. Scroll to the Recent Documents section — the Vinyl meeting note appears here, labelled with the meeting title.

  3. Click the document to open the Meeting panel on the right-hand side.

  4. Click Editor to open the full note — this shows the overview, key discussion points, and action items. The Meeting panel itself only shows metadata; you must click Editor to read the content.

Via the Documents tab

  1. Open the client record and go to the Documents tab.

  2. Find the meeting document — it appears under the Correspondence cabinet with a calendar icon, indicating the document type is Meeting.

  3. Select the document, then click Editor to view the full note content.

Understanding the sync badge

A sync badge appears on meetings in Vinyl that are ready to sync with FYI. The badge only appears when a meeting has both a transcript and a summary.

The badge will not appear for:

  • Upcoming meetings

  • Meetings that are still processing

  • Meetings that failed to transcribe

If the FYI integration is connected, every eligible meeting will display a badge. If the meeting has not yet been synced, the badge will show Not Synced.

When a meeting becomes out of sync

If a meeting has already been synced and any of the following information is edited, the sync status changes to Out of Sync:

  • Meeting summary

  • Key discussion points

  • Action items

  • Transcript details (such as speaker name corrections)

Click the sync badge to resync the meeting. In FYI, resyncing overwrites the existing document with the updated version.

Troubleshooting — notes not appearing in FYI

The most common reason notes don't appear in FYI is an email address mismatch — the participant's email in Vinyl doesn't match their email on their FYI contact record.

Check that the meeting participant's email matches exactly what's listed in FYI. If everything looks correct and the note still isn't appearing, contact us at [email protected] with:

  • The meeting name and date

  • The FYI client you expected it to file under
