How to manually sync a meeting to FYI

How to switch from automatic to manual sync, and how to file a meeting note to FYI from Vinyl.

New FYI connections start on manual sync, with Automatic sync off, so you'll file each meeting to FYI yourself after transcription. Connected before May 2026? Your setting is unchanged. A Master Admin can turn Automatic sync on if your team prefers meetings to be filed automatically.

Switch from automatic to manual sync

Only a Master Admin can change this setting.

  1. Open Integrations in the left menu

  2. Find the FYI card

  3. Turn off Automatic sync, then confirm with Switch to manual sync

What happens with Automatic sync off

  • Meetings are no longer filed automatically after transcription

  • With auto-sync off, meetings show Not filed until someone files them

  • You choose where each meeting goes

When a team first connects their FYI integration, existing meetings that already have a transcript and summary show Not filed. You can file these to the right FYI client records whenever you're ready.

How to file a meeting to FYI

  1. Open the meeting in Vinyl.

  2. In the meeting header, click the filing control next to Share.

  3. Click Pick where it goes. If the meeting already has a client, click Change where this files.

  4. Tick the client to file to. The list starts with where the meeting has already been filed, and you can search for any client in FYI.

  5. Click File.

Only clients that exist in FYI will appear in this list.

Who can file a meeting? You can file a meeting if you own it (including team members who attended, who get owner access automatically) or it was shared with you as Can edit. If you only have view access, ask the meeting's owner to file it or share it with you as Can edit.

Note: Meeting documents filed to FYI cannot be removed from Vinyl. Filing to the same client again overwrites the document in FYI with the updated content. If you need to remove a document completely, it can be deleted directly inside FYI.
