How to delete a user profile
To delete a user or web profile in Vinyl:
Go to Settings in the Vinyl web app
Navigate to Users or Team
Find the user profile you want to delete
Select Delete or Remove user
Getting an error when trying to delete a user?
If you see an error when attempting to delete a user profile, it's usually because the user still has an active integration connected (such as a calendar or a practice-management tool like Xero Practice Manager, Karbon, or FYI). You'll need to disconnect their integrations before the profile can be deleted.
To fix this:
Open the user's profile
Disconnect any active integrations listed for that user
Once all integrations are removed, retry deleting the profile
Still seeing "failed to remove member from your team" after disconnecting integrations?
In some cases the removal error persists even after all integrations have been disconnected. If this happens, try the following instead:
Remove the user profile from your team as normal (even if you've seen the error before, try again)
Once removed, send that person a fresh invite to re-join your team
Have them accept the new invite and log in again
This remove-and-re-add approach has resolved cases where the standard integration-disconnect fix didn't clear the error, including situations where a duplicate or stuck invitation was also part of the problem (see the login troubleshooting steps below).
Removing an offboarded team member
If you're trying to remove someone who has left your team, follow the same steps above. Make sure their connected integrations (such as their calendar and any practice-management tools) have been disconnected first, otherwise the deletion will fail.
If you're unable to disconnect their integration yourself, contact Vinyl support and we can assist.
Deleting via the mobile app
User profile management, including deletion, is handled through the Vinyl web app. If you're on mobile, please switch to a desktop browser to delete a user profile.
If you've disconnected integrations, tried removing and re-adding the user, and are still unable to delete or restore access to the user profile, reach out to the Vinyl support team and include:
The name or email of the user profile you're trying to delete
A screenshot of the error message (if any)
