"Karbon integration is disabled", what it means and how to fix it

If you try to connect Karbon and Vinyl shows a message that the Karbon integration is disabled (or the Connect button is greyed out), it usually comes down to one of the reasons below. Here's how to tell which one applies and what to do.

1. Your plan doesn't include the Karbon integration

Karbon is available on Starter and above, and you need active subscriptions for both Vinyl and Karbon. If you're on a plan that doesn't include it, the integration will appear disabled.

  • Check your current plan under Settings → Billing.

  • If you'd like to upgrade or you think your plan should already include it, start a chat with us and we'll sort it out.

2. You already have another practice management integration connected

Vinyl supports one active practice management integration at a time. If FYI Docs or Xero Practice Manager (XPM) is already connected, Karbon will stay disabled until you disconnect the other one.

  • Go to Integrations and check whether FYI or XPM is connected.

  • If you're switching, disconnect the existing integration first. When you disconnect, Vinyl offers to remove the contacts, clients, and groups it synced, which prevents duplicates. See Avoid Contact Duplicates When Switching PM Systems.

3. You need admin permissions

Setting up a practice management integration is an account-level action, so you may need to be a Master Admin in Vinyl (and have the right permissions in Karbon) to enable it. If you're not an admin, ask the person who manages your Vinyl workspace to connect it, or reach out to us.

Once it's enabled, here's how to connect

  1. In Karbon, go to Settings → Connected Apps, find Vinyl, and click Copy to clipboard to copy your access token.

  2. In Vinyl, open the Integrations tab, find Karbon, and click Connect to Karbon.

  3. Paste your Karbon Access Key when prompted.
