Ignition Integration Overview

Everything support needs to know about Vinyl's Ignition integration: prerequisites, how Draft Proposal works, what Vinyl can and can't do, paste-ready answers to common questions, and a troubleshooting table for quirks you'll see in tickets.

Vinyl's Ignition integration lets you turn any external client meeting into an Ignition proposal draft without leaving Ask Vinyl. This article covers how the flow works, what Vinyl can and can't do, and paste-ready answers to the questions we see most often.

Before you start: two prerequisites

Draft Proposal only appears after external client meetings when both of these are in place:

  • Ignition is connected in Vinyl — go to Integrations, choose Ignition, and sign in to connect. If Ignition is already connected but showing an error, you may need to reconnect.

  • Proposals are enabled for Ask Vinyl — your firm's Master Admin must check that the Ignition toggle is on under Settings → AI permissions. Only the Master Admin can see this tab. The setting is team-wide, individual members cannot override it. It defaults to on, so if it is off, someone at the firm switched it off deliberately.

If a customer says Draft Proposal is not appearing after external meetings, check the AI permissions toggle first. That is a different issue from seeing "Coming soon" on the Integrations page, which means the team has not been enabled for access yet.

How Draft Proposal works

After an external client meeting, the user opens Ask Vinyl and clicks Draft Proposal (or just asks for one in chat). Vinyl then:

  1. Identifies the client from the meeting and looks them up in Ignition. If there is no match, Vinyl can create a new client, this shows as an approval card the user must confirm first.

  2. Matches services discussed in the meeting against the firm's Ignition service library. It may also suggest relevant add-ons from that library.

  3. Drafts the proposal with resolved, tax-inclusive pricing from Ignition.

  4. Shows a review card in the chat. Nothing is created in Ignition until the user clicks Create. Clicking Discard creates nothing.

  5. On approval, creates a draft in Ignition. The user reviews and sends it from Ignition itself.

Three things are always true, regardless of what is asked:

  • User-initiated. Draft Proposal never runs automatically after a meeting.

  • Draft only. Vinyl never sends, publishes, or approves a proposal.

  • Approval-gated. Every write to Ignition (client, service, proposal) shows a review card first.

What Vinyl can and cannot do

Vinyl can:

  • Create new clients and contacts from meeting attendees (via approval card)

  • Match services from the firm's Ignition library, with real resolved pricing

  • Create a missing service in the Ignition library, proposed on its own approval card, never automatically

  • Show tax-inclusive contract totals on the confirmation

  • Use the firm's Ignition proposal templates

  • Adjust details via follow-up chat before clicking Create, e.g. switch invoicing to automatic

Vinyl cannot:

  • Send, publish, or approve a proposal — it is always a draft in Ignition

  • Create anything without approval — every write shows a card the user must confirm first

  • Link directly to the proposal — the confirmation shows a reference number, not an "open in Ignition" button (a direct link is on Ignition's side to provide)

  • Work on internal meetings — external client meetings only

Common questions

Does Vinyl draft a proposal automatically after every client meeting?

No, it only runs when you ask. After an external meeting, open Ask Vinyl and click Draft Proposal (or just ask for one). Nothing is drafted or created in Ignition unless you start it and approve it.

How do I connect Ignition to Vinyl?

Go to Integrations in Vinyl, choose Ignition and click Connect, you will sign in to Ignition to authorise it. Then make sure AI permissions are enabled under Settings → AI permissions. After that you will see the Draft Proposal option after your external meetings.

Is the meeting classified as internal?

Draft Proposal only appears automatically after external client meetings, meetings with at least one attendee who is not on your Vinyl team. If the meeting was internal, the button won't appear, but you can still type "draft proposal" in Ask Vinyl chat and it will work.

Is the AI permissions toggle on?

Ask whoever is the Master Admin on your Vinyl team to go to Settings → AI permissions and check the Ignition toggle is on. It applies to everyone on the team, and only the Master Admin can see that tab.

Can Vinyl create services that are not in my Ignition library yet?

Yes, if something discussed is not in your library yet, Vinyl can create it in Ignition for you. It always asks for your approval first, so nothing is added to your library without you reviewing it.

Why did my draft come through with manual invoicing?

Drafts default to manual invoicing, but you can change that before anything is created, the review card in Ask Vinyl has an invoicing toggle, so just switch it to automatic before you click Create. If you have already created the draft, you can change the invoice setting in Ignition, or ask Vinyl in the follow-up chat to "change invoicing to automatic".

Can I use Draft Proposal on internal meetings?

Proposal drafting appears automatically after external client meetings. If your meeting was internal, you can still type "draft proposal" in Ask Vinyl chat and it will work, you just will not see the button automatically.
