Record a meeting that’s not in your calendar

If your meeting wasn’t added to your calendar or it was scheduled last-minute, you can still capture it in Vinyl by manually inviting the bot. Whether it’s a last-minute client call or a quick internal sync, Vinyl can join and capture it in just a few steps.

Head to your Vinyl homepage

Open Vinyl and log in. On the middle of your dashboard, you’ll see the New Meeting panel.

Set up the meeting manually

  • Enter a title: Give the meeting a name so you can easily find it later.

  • Paste your meeting link: Add the video call link from your platform (e.g. Zoom, Google Meet, or Microsoft Teams).

Click Start Capturing to invite Vinyl to join the call and begin recording.

That’s it, Vinyl will now join the meeting, take notes, and save everything just like it would for a calendar-synced session.

You may need to admit Vinyl if your meeting platform uses a waiting room or lobby feature.

💡Tip: If you’re running regular ad hoc meetings using the same Zoom link, make sure to add Vinyl manually each time, it won’t automatically join recurring unscheduled sessions.
