If your meeting wasn’t added to your calendar or it was scheduled last-minute, you can still capture it in Vinyl by manually inviting the bot. Whether it’s a last-minute client call or a quick internal sync, Vinyl can join and capture it in just a few steps.
Before you start: this option sends Vinyl to your meeting straight away, it is not a way to schedule a recording for later. Only use it once the meeting is about to begin or already underway. If your meeting is later today or on another day, add it to your connected calendar instead and Vinyl will join at the right time.
Head to your Vinyl homepage
Open Vinyl and log in. The New Meeting card is the first card in the left column of your Home page.
You can also use the red Record button at the top of the sidebar. It opens a New recording dialog where you can paste a Zoom, Meet or Teams link.
Set up the meeting manually
Enter a title (optional): Give the meeting a name so you can easily find it later.
Paste your meeting link: Add the video call link from Zoom, Google Meet or Microsoft Teams. These are the platforms Vinyl can join.
Click Start Capturing to invite Vinyl to join the call and begin recording immediately. The button stays greyed out until a valid meeting link has been pasted.
That’s it, Vinyl will now join the meeting, take notes, and save everything just like it would for a calendar-synced session.
If Vinyl says it already has this meeting: when Vinyl already has a meeting for that link, it asks Record this call as a separate meeting? Choose Record separately to capture it as its own meeting, or Cancel. If Vinyl is already on the call, you’ll be taken straight to the existing meeting.
You may need to admit Vinyl if your meeting platform uses a waiting room or lobby feature.
💡Tip: If you’re running regular ad hoc meetings using the same Zoom link, make sure to add Vinyl manually each time, it won’t automatically join recurring unscheduled sessions.
Recording in the room, without your phone? Click Record, then Record in browser to record through your computer's microphone. Vinyl transcribes and summarises it like any other meeting.
Started a recording by mistake? How to stop it
If you clicked Start Capturing too early (for example, for a meeting that isn’t due to begin for a few hours), Vinyl will already be trying to join or record. To stop it:
If Vinyl has joined the call, remove the Vinyl bot from the participant list in your meeting platform. This stops the recording.
In Vinyl, open the meeting from Home or Upcoming, click the ⋮ Meeting options menu, choose to remove the bot, and confirm Stop recording and remove the bot? Or, in Upcoming, switch off the meeting’s Record toggle and confirm Stop recording?
If the meeting still appears to be recording, chat with us with the meeting title and the time you started it. We can stop it from our side and make sure it isn’t counted toward your plan hours.
Once it’s stopped, you can record the real meeting at the right time by adding it to your calendar, or by coming back to this page and clicking Start Capturing when the meeting begins.
