External meeting invites aren't showing in Vinyl

Vinyl detects meetings by reading your connected Google or Microsoft calendar. If you've been invited to a meeting by someone outside your organisation, there can occasionally be a short delay before it appears in Vinyl.

Why this happens:
When an external organiser sends a calendar invite, it can take a little time for the event to fully sync to your calendar — and for Vinyl to pick it up. This is normal behaviour and usually resolves on its own within a few minutes.

What to check:

  1. Confirm the event is in your calendar — Open Google Calendar or Outlook and check the event appears there first. If it's not in your calendar yet, Vinyl won't see it.

  2. Check that the meeting has a video link — Vinyl only joins meetings that have a video conferencing link (e.g. Google Meet, Zoom, Teams). Meetings without a link won't be detected.

  3. Wait a few minutes and refresh — If the invite just arrived, give it 5–10 minutes and check Vinyl again.

If the meeting still isn't showing and it's due to start soon, contact our support team immediately with the meeting time and the organiser's email address. We'll prioritise getting it sorted.
