You can upload an existing audio file, or a transcript exported from another system, straight into Vinyl. Vinyl treats it like any other meeting: transcribing it (for audio), summarising it, and generating the same post-meeting actions you'd get from a live-recorded call.
What you can upload
A recorded VOIP or phone call
A recording from another notetaker or app
A transcript exported from another system
How to upload
From your Recordings tab, choose the option to upload a file, then select the audio file or transcript you want to add. Vinyl processes it the same way it processes a meeting it recorded directly, you'll get a transcript (if you uploaded audio), a summary, action items, and full access to Studio for that meeting.
Note: the upload option lives on its own page rather than inside the main Recordings list, from Recordings, look for the link to the in-person recording / upload page, where the file upload control is shown alongside the mobile recording option. If you don't see it immediately, use the chat button below and we'll point you to it directly.
How it's billed
Audio uploads are billed by the minute of audio.
Transcript uploads are estimated at 150 words per minute.
Recording a meeting directly with Vinyl
If you'd rather have Vinyl capture the meeting itself instead of uploading afterwards:
Online meetings: use the Vinyl desktop or browser app to have Vinyl join and record your next Zoom, Google Meet, or Microsoft Teams call. The transcript and notes are generated automatically.
In-person meetings: use the Vinyl mobile app to record the audio in the room through your phone's microphone. When you're done, open the app on Wi-Fi or strong mobile data so the recording uploads.
Meetings not in your calendar: start a recording manually, paste a meeting link into Record a meeting, or start a standalone recording in the mobile app.
A note on phone calls: Vinyl still can't record a live phone or telephone call directly while it's happening, including a call placed on speaker on the same device. Your phone's operating system blocks apps from capturing audio while a call is active. If you've already recorded the call another way (e.g. a two-device setup, or your phone carrier's call recording), you can upload that recording afterwards using the steps above.
My call recording app saved a video file, not audio: Vinyl only accepts audio files and transcripts, it can't process a video file (for example, an MP4). Some phone call-recording apps save your call as a video by default, even though there's no picture. If this happens to you:
Check whether your recording app has a setting to export or save calls as audio only, this is the easiest fix going forward.
If you already have the video file, use your phone's voice memo/recording app to play the video back and record just the audio, or use a simple video-to-audio converter, then upload the resulting audio file to Vinyl as normal.
