Master Admin vs Team Member, what's the difference?

Vinyl has two roles: Master Admin and Team Member. Understanding the difference matters when your team is trying to manage meetings, access controls, or workspace settings.

Master Admins have full control over the workspace. They can:

  • Invite and remove team members

  • Promote team members to Master Admin

  • Change the visibility of any Team-visible meeting in the workspace (not just their own)

  • Manage billing and account settings

  • Connect and manage integrations (e.g. FYI, Xero)

Note on meeting privacy: Master Admins cannot access private meetings they were not part of. The Master Admin role does not override privacy, a private meeting will not appear in their meeting list, search, or transcripts. If a Master Admin needs access to a specific private meeting, the meeting host must share it with them directly.

Team Members can manage their own meetings and content. They can:

  • View all Team-visible meetings in the workspace

  • Change the visibility of meetings they own

  • Delete transcripts and recordings from their own meetings

  • Use Ask Vinyl, generate file notes, and access integrations

Team members cannot:

  • Invite or remove other team members

  • Access or modify meetings they don't own (unless explicitly shared)

  • Change workspace-level settings or billing

How many Master Admins can a workspace have?

There is no limit on the number of Master Admins in a Vinyl workspace. Larger firms often set up multiple Master Admins so that key partners or managers can all manage team access and settings without depending on a single person.

Any existing Master Admin can promote a team member to Master Admin at any time.

To do it:

  1. Go to My Settings → Members.

  2. Find the team member you want to promote.

  3. Click the three dots (⋯) next to their name and select Edit.

  4. Change their role to Master Admin from the dropdown.

  5. Click Save.

The change takes effect immediately. The team member will have full admin access as soon as you save.
