What's happening
You expected a recording but it isn't showing in your meetings list. One common reason is that the Vinyl notetaker was waiting in the meeting's waiting room and was never admitted into the call. If Vinyl isn't admitted, it can't capture any audio, so no recording or transcript is created.
How to make sure Vinyl is recording
When your meeting starts, glance at the waiting room or participant list and admit Vinyl as soon as it appears. Once it's admitted, it will capture the meeting from that point onward. It's worth checking for Vinyl in the first minute or two of the call, especially on platforms where new participants wait to be let in.
Recording only part of a meeting
Sometimes the start of a meeting is confidential and you only want Vinyl to capture a later part of the conversation. To do this, you can start a recording manually for the part that can be recorded:
Open your Vinyl dashboard and find the New Meeting panel.
Give the meeting a title so you can find it later.
Paste in your meeting link (Zoom, Google Meet, Microsoft Teams, etc.).
Select Start Capturing. Vinyl will join the call and begin recording from that moment.
Remember to admit Vinyl from the waiting room if your meeting uses one.
If a recording is still missing
If you admitted Vinyl and the recording still didn't appear, our support team can investigate and, where possible, recover it. Please contact support with the meeting title, the date, and the rough start and end time so we can locate it for you.
Using Microsoft Teams?
Teams has an additional bot detection policy that can stop Vinyl from appearing in the waiting room at all. If Vinyl consistently doesn't show up as a participant, see Vinyl is stuck in the Teams lobby — external bot detection.
