An upcoming meeting shows the wrong attendee (a client instead of you)

Why a scheduled meeting can display the wrong person, usually when an email is linked to more than one client record, and how to fix it.

If one of your upcoming or scheduled meetings shows the wrong person attending, for example a client's name where you'd expect your own, this is almost always a display and matching issue rather than a problem with whether Vinyl will join the meeting.

Why this happens

The most common cause is that an email address on the meeting is linked to more than one client or contact record in Vinyl. This often happens after syncing from a practice-management system (such as FYI or Karbon), where the same person or domain can appear against several client records. When Vinyl matches the meeting to a contact, it can surface the wrong linked record, so the meeting displays the wrong attendee.

Importantly, this does not stop Vinyl from joining or recording the meeting. It only affects how the attendee is shown.

How to fix it

  1. Open the meeting and check the attendee's email address.

  2. Look for duplicate contact or client records that share that email address or domain.

  3. Make sure the meeting is tagged to the correct client so it files where you expect. See Why did my meeting get saved to multiple FYI clients? for related steps on controlling where meetings are saved.
