Learn how to sign up for Vinyl, complete your profile setup, and prepare your account to start recording and transcribing meetings.

Getting Started with Vinyl

This Quick Start Guide will help you set up Vinyl and record your first meeting in just a few minutes. Follow these simple steps to start capturing your important conversations.

Step 1: Create Your Account

  1. Visit usevinyl.com and click "Sign Up"

  2. Choose to sign up with:

    • Google Account (recommended for Google Meet users)

    • Microsoft Account (recommended for Teams users)

    • Email address

  3. Complete the verification process and create your password

Pro Tip: Use your work email to ensure calendar integration works smoothly.

Step 2: Connect Your Calendar

  1. From the setup wizard or Settings menu, select "Calendar Connections"

  2. Click "Connect" next to Google Calendar and/or Microsoft Outlook

  3. Grant the requested permissions to allow Vinyl to:

    • View your calendar events

    • Join your meetings automatically

    • Send notifications to participants (optional)

Time-saving Tip: Connecting both calendars ensures all your meetings can be recorded, regardless of platform.

Step 3: Configure Meeting Settings

  1. Go to Settings > Meeting Preferences

  2. Choose your default recording settings:

    • Auto-Record: Vinyl will automatically join and record meetings with specific keywords (e.g., "Interview", "Client Meeting")

    • Manual Selection: You'll choose which meetings to record on a case-by-case basis

  3. Set your preferred AI summary length (Brief, Standard, or Detailed)

  4. Save your settings

Step 4: Schedule Your First Recording

Option A: Record an Upcoming Meeting

  1. Go to the Meeting tab in your dashboard

  2. Find an upcoming meeting you want to record

  3. Toggle the recording switch to "ON"

  4. Optionally, click the meeting to configure specific settings

Option B: Record an Instant Meeting

  1. From your dashboard, click the "Start Capturing" button

  2. Select the meeting platform (Zoom, Teams, or Google Meet)

  3. Enter a meeting title

  4. Click "Start Recording" to generate a shareable meeting link

  5. Join the meeting yourself and invite others using the link

Step 5: During the Meeting

  1. At the start of the meeting, Vinyl will join as a participant

  2. Inform all participants that the meeting is being recorded (a legal requirement in many regions)

  3. Conduct your meeting as usual

  4. For best results:

    • Encourage clear speaking

    • Reduce background noise

    • Have one person speak at a time

Important: You don't need to do anything special during the meeting. Vinyl works automatically in the background.

Step 6: After the Meeting

  1. Within a few minutes of the meeting ending, you'll receive an email notification

  2. Click the link in the email or go to your Vinyl dashboard

  3. Your meeting recording, transcript, and AI summary will be available

  4. Review the content and make any necessary edits:

    • Correct any transcription errors

    • Adjust speaker names

    • Add notes or highlights

Step 7: Share Your Meeting Content

  1. From the meeting detail page, click the "Share" button

  2. Choose what to share:

    • Summary only

    • Summary and transcript

    • Full recording with transcript

  3. Set permission levels:

    • View only

    • Comment

    • Edit (for team members)

  4. Copy the shareable link or directly enter email addresses

  5. Optionally add a personal message

  6. Click "Share"

Step 8: Manage Action Items

  1. In the meeting summary, review identified action items

  2. Assign owners to each action item

  3. Set due dates

  4. Add these action items to your tracking system:

    • Export to your task management tool

    • Email to the responsible parties

    • Track directly in Vinyl

Q: How do I ensure good transcription quality? A: Use clear audio, reduce background noise, and encourage participants to speak one at a time.

Q: Can I edit the transcript after the meeting? A: Yes, you can edit the transcript by clicking on any text in the transcript view.

Q: How do I record meetings that aren't on my calendar? A: Use the "Record Now" button to start an instant meeting recording.

Q: Will participants know they're being recorded? A: Yes, Vinyl joins as a visible participant and you should also verbally inform everyone at the start of the meeting.

Q: How quickly will my transcript be ready? A: Transcripts are typically available within minutes of the meeting ending. Longer meetings may take more time to process.
