If Vinyl isn’t automatically joining your scheduled Microsoft Teams meetings, it’s usually due to a calendar issue, meeting settings, or permissions. This article walks you through what to check and how to fix it.
Make sure the meeting is in your connected Outlook calendar
Vinyl only joins meetings that are scheduled in the Outlook calendar connected to your Vinyl account. If a Teams meeting was created directly in Microsoft Teams and not added to your calendar, Vinyl won’t be able to detect it.
To check, open your Vinyl dashboard and look under Upcoming Meetings. If the meeting doesn’t appear there, it likely isn’t in your calendar.
If needed, you can still record a meeting that’s not in your calendar.
Check your Microsoft Outlook integration
Vinyl needs access to your Microsoft Outlook to work properly. If you’ve recently changed your password or revoked permissions, the integration may need to be refreshed.

Review your Microsoft Teams meeting settings
Some meeting settings in Teams can prevent Vinyl from joining automatically:
Lobby enabled: If your meeting uses a lobby or waiting room, Vinyl may be waiting to be admitted. Check the participant list at the start of the meeting and admit the Vinyl Recording Assistant if it’s waiting.
Only authenticated users can join: If your meeting is restricted to signed-in users only, Vinyl will not be able to join. You’ll need to disable this setting when creating the meeting.
