Vinyl has three access levels: Master Admin, Manager and Team Member. Knowing the difference helps when you're deciding who should look after your team, settings and meetings.
Master Admin
Master Admins have full control over the workspace. They can:
Invite and remove anyone on the team
Set anyone's access level to Team Member, Manager or Master Admin
Change the visibility of any Team-visible meeting in the workspace (not just their own)
Manage billing and account settings
Connect and manage firm-wide integrations (e.g. FYI, Karbon, XPM, SharePoint)
Change the firm's sharing default, client summaries and everything under Settings → Permissions
Manager
Manager sits between Team Member and Master Admin. It's a great fit for a practice manager or senior team member who keeps the firm running day to day, without needing access to billing, integrations or anyone else's access level.
Managers can do everything a Team Member can, plus:
Invite new people to the team (they join as Team Members)
Remove Team Members
Update firm branding and writing tone under General settings
Add and edit prompts in the firm's prompt library
Create team and round-robin meeting types in the Scheduler
Merge duplicate contacts
Switch a Team Member's shared meeting to private
A few things stay with Master Admins. Managers can't:
Change anyone's access level, including their own
Remove another Manager or a Master Admin
See billing or subscription settings
Connect, disconnect or change auto-sync on firm-wide integrations (their own calendar and email connections work just like a Team Member's)
Change the firm's sharing default, the client summaries switch, or anything under Settings → Permissions. Managers can still see these settings, marked Only a Master Admin can change this.
Change the visibility of meetings owned by a Master Admin or another Manager
Delete prompts from the firm's prompt library
Team Member
Team Members can manage their own meetings and content. They can:
View all Team-visible meetings in the workspace
Change the visibility of meetings they own
Delete transcripts and recordings from their own meetings
Use Studio, generate file notes, and connect their own calendar and email
Team Members can't invite or remove other people, change meetings they don't own (unless shared with them), or change workspace-level settings or billing.
A note on meeting privacy
No access level overrides privacy. A private meeting won't appear in a Master Admin's or Manager's meeting list, search or transcripts unless they were part of it. If someone needs access to a specific private meeting, the meeting host can share it with them directly.
How many Master Admins or Managers can a workspace have?
There's no limit. Many firms give partners Master Admin access and make their practice manager or team leads Managers, so day-to-day admin doesn't depend on a single person.
Any Master Admin can change someone's access level at any time. Read more on how to Manage your team in Vinyl.
