Updated over 3 weeks ago

Ready to start capturing, transcribing, and organising your client meetings with Vinyl? Here’s how to set up your account and get up and running in just a few minutes.

Step 1: Create Your Vinyl Account

  1. Click on Sign Up

  2. Enter your details then click on Create Account and follow the prompts

  3. Check your email for a verification code

  4. Enter the code back in Vinyl to verify your account

Step 2: Set Up Two-Factor Authentication

After verifying your email, you’ll be asked to set up two-factor authentication using Google Authenticator:

  1. Scan the QR code shown in Vinyl using your Google Authenticator app

  2. Enter the 6-digit code from the app into Vinyl to complete the setup

This step ensures your account is secure and protected.

Troubleshooting Two-Factor Authentication

Two-factor authentication (2FA) is mandatory for all Vinyl accounts, ensuring an additional layer of security. If you are having trouble accessing your account due to issues with your 2FA, follow these steps based on your situation to troubleshoot or reset your authentication setup.

Step 1: Check Your Authenticator App

  • Ensure you are using the same authenticator app used during the initial setup of your Vinyl account.

  • Verify if your Vinyl account is listed under the name "AWS Incognito" in the authenticator app.

  • If the entry is missing or the app cannot generate a code, proceed to reset your 2FA.

Step 2: For Team Members (Non-Admins)

If you are not an administrator on your Vinyl account and cannot access 2FA:

  1. Ask your team administrator to remove and re-add you to the team. This action will reset your 2FA, allowing you to set it up again.

    • Once you successfully re-register and set up 2FA, notify your team or admin to reconnect you to shared resources like meetings or recordings.

  2. If your team administrator is unavailable, you can escalate the issue to Vinyl support for assistance.

Step 3: When Support Assistance Is Required

If the above steps do not resolve the issue, or there is no admin available for your account:

  1. Contact Vinyl support and request a 2FA reset. This involves:

    • The removal of your account from the system by the support team.

    • Re-registering your account using your email address.

  2. Once re-registered, set up 2FA again during the registration process.

  3. Notify the support team so they can reconnect your account to your team, restoring meetings, recordings, and other associated data.

Conclusion

By following the steps above, you can effectively troubleshoot or reset your 2FA for your Vinyl account. Remember that 2FA is a critical feature to maintain your account's security, so ensure you set it up during your initial registration or re-registration processes. If you encounter further issues, don't hesitate to reach out to Vinyl support for additional assistance.

Step 3: Connect Your Calendar

To get the most out of Vinyl, you’ll need to connect your calendar. This allows Vinyl to detect your meetings, join them automatically, and keep everything linked to the right clients and contacts.

Choose the calendar provider you use:

Once your calendar is connected, Vinyl will begin detecting your meetings so it can join, record, and generate summaries automatically.
