Share Meeting Recordings

After a client meeting, sharing the recording or summary is one of the most practical things you can do, it gives clients a written record of what was discussed, removes the need to write a detailed follow-up email, and creates a documented trail for compliance purposes. Vinyl makes this a one-step process.

Two ways to share externally

Vinyl gives you two options for sharing a meeting outside your team:

External share (recommended for clients and third parties)
You enter the recipient's email address and Vinyl sends them a personalised link. The link is tied to that specific email, you can see who has access, and you can revoke it at any time. No Vinyl account is created. This is the right option when sharing with a specific client, a director, a solicitor, or any named individual.

Copy Meeting Link
This copies a URL that anyone with the link can open, it's not tied to a specific email and can't be tracked or revoked per-recipient. Useful for quick internal sharing or when you want to paste a link into an email you're already writing. Not recommended when you need control over who can access the meeting.

How to share a meeting recording

Open your Vinyl dashboard
Head to app.usevinyl.com and log in to your account.

Go to the Recordings tab
On the left-hand side of your screen. Click the recording you want to share.

Click the Share button
Top-right corner of the meeting page.

Enter the email address
Type in the recipient's email and send the link. They'll receive an email with access to the meeting, no Vinyl account required.

What the recipient sees

Recipients get a read-only view of the meeting. They can't edit anything or access other meetings in your workspace. What they can see, summary, transcript, recording, depends on your share settings. For most client shares, the summary and action items are the right default.

Revoking access

You can revoke a recipient's access at any time from the meeting's Share settings. Once revoked, their link stops working immediately.

If the link stops working

If the recipient's link gets burned, commonly caused by email security scanners at larger firms, they can request a new one themselves using the Email me a new link button. A fresh link goes straight to their inbox without you needing to resend anything.

Sharing within your team

For sharing meetings with teammates who are already on Vinyl, use the team sharing settings, these are separate from external sharing. See Turn Auto-share on or off and Manually control sharing for a meeting.

Requesting Access to a Recording in Another User’s Account

If you need access to a meeting recording stored in another user’s Vinyl account, follow these steps:

  1. Contact your organization’s Vinyl administrator to request access. The admin can approve and grant access securely.

  2. Alternatively, the owner of the recording can grant you access directly from their account.
