I signed up but I'm not in my team's Vinyl workspace

What to do if you accidentally created your own Vinyl account instead of joining your team's existing workspace.

If you opened Vinyl and found an empty workspace — no recordings, no team members, no integrations — you've most likely signed up for a separate account instead of joining your firm's existing one. This is easy to do if you click Sign up instead of accepting the invite link your admin sent.

Don't worry — your firm's recordings and data are untouched. You just need to get into the right workspace.

How this happens

When someone on your team wants to add you to Vinyl, they send an invite from Settings → Invitations. That invite arrives as an email with a unique link. If you click that link, you're taken directly into your team's workspace.

The issue happens when you go to app.usevinyl.com and click Sign up independently — Vinyl creates a brand new, separate workspace for you instead of connecting you to your team's existing one.

Step 1 — Check your email for the original invite

Before contacting support, search your inbox for an email from [email protected] or with the subject line containing "Vinyl" or "invitation." If the invite is still valid, clicking the link will take you straight into your team's workspace.

If the link has expired or you can't find the email, ask your admin to resend the invite from Settings → Invitations → Resend Invite.

Step 2 — If you've already created a duplicate account, contact support

If you've ended up with two accounts — your solo one and your team's — this can't be self-resolved. Our support team will remove the duplicate account so you can join the correct workspace cleanly.

When you contact us, include:

  • The email address on the duplicate account (the one you accidentally created)

  • The email address on your team's main account (ask your admin if you're unsure)

  • Confirmation that there are no recordings or data in the duplicate account you want to keep

We respond within 2 hours. Once the duplicate is removed, your admin will resend the invite and you'll be in the right workspace.

Once you've joined the correct workspace

After accepting your invite, you'll see your team's shared meetings and recordings based on your role and the visibility settings each meeting has. When to contact support

Contact [email protected] if:

  • You have a duplicate account and need it removed

  • Your invite link has expired and your admin is unable to resend it

  • You're seeing an error when trying to accept an invite
