Vinyl isn’t joining my Zoom meetings

If Vinyl isn’t showing up to your scheduled Zoom meetings, it’s usually due to calendar syncing or Zoom settings. Here’s how to troubleshoot and get things working again.

Check That the Meeting Is in Your Calendar

Vinyl only joins Zoom meetings that appear in your connected calendar.

  • If you created the Zoom meeting manually but didn’t add it to your calendar, Vinyl won’t detect it.

  • Head to your Vinyl dashboard and check your Schedule tab.

    • If your meeting is missing, confirm that your Zoom account is linked to a calendar Vinyl can access.

🔄 If you suspect a sync issue, try disconnecting and reconnecting your calendar via IntegrationsCalendar.

Review Your Zoom Meeting Settings

Some Zoom settings can prevent Vinyl from joining your meetings:

  • Waiting Room is enabled – If the waiting room is turned on, Vinyl will get stuck there until manually admitted. Check your Zoom participants list and let Vinyl in.

  • Meeting passcode is missing – If your Zoom meeting requires a passcode, make sure it’s included in the calendar invite.

  • Authentication settings are blocking Vinyl – If your meeting is set to "Only authenticated users can join", Vinyl may be blocked.Update this setting to allow external participants or add Vinyl’s domain to your allow list.

  • Local Recording Settings - If local recording is globally enabled but does not allow participants to record, Vinyl won’t be able to start recording. Fix this in Zoom by enabling recording permissions for:

    • Internal participants

    • External participants

If you recently changed your Zoom security settings, try updating them and resending the invite.

Manually add Vinyl to a Zoom meeting
