If you’re not sure whether Vinyl was in your meeting, there are a couple of ways to confirm. This helps you make sure recordings and summaries are captured as expected.
Check Your Scheduled Recordings
Go to the Schedule tab on your Vinyl dashboard. If your Google or Outlook calendar is connected, any upcoming meetings Vinyl detects will show up here.
If you don’t see your meeting listed, Vinyl may not have picked it up. This can happen if the calendar event didn’t meet certain conditions. You can read more about this in our troubleshooting guide.
Look For Vinyl In The Meeting
Vinyl joins meetings as a participant. You’ll usually see it show up as Vinyl Notetaker, and if you’ve set up branding, it’ll have your firm’s name or logo too. If your meeting uses a waiting room or lobby, the Vinyl bot will appear in the participant list but cannot join the meeting unless explicitly admitted. Ensure you admit the bot promptly to enable recording.
If Vinyl didn’t appear in the participant list or on screen, that means it didn’t join and won’t have a recording or summary from that session. This can also occur if the meeting was restarted and the Vinyl bot was not re-added to the new session, or if it was not admitted from a waiting room or lobby.
If you're still unsure or think something went wrong, feel free to reach out to Vinyl support and we’ll help troubleshoot from our side. Additionally, consider implementing preventative measures such as monitoring the participant list, informing participants about the Vinyl bot, and conducting tests before important meetings to ensure seamless recording.
