If you open a meeting and see an error, or nothing appeared after the call, the recording may not have completed. This happens occasionally with both online and mobile recordings. Whether it can be recovered depends on what went wrong: if the Vinyl notetaker was admitted to the call and captured audio, we can usually recover it. If the notetaker was never admitted, or the meeting was declined or deleted, no audio was captured and there is nothing to recover. Start with the section that matches your situation.
First, check it's really "failed" and not one of these
Still processing or just delayed: My transcript or notes aren't showing up yet.
The notetaker was never admitted from the waiting room: if Vinyl waited in the waiting room and was never let into the call, it couldn't capture any audio, so there is no recording or transcript to recover. See Vinyl was in the meeting's waiting room but didn't record.
The meeting was declined, deleted, or the notetaker was removed by the host: if the call didn't go ahead or Vinyl was removed, nothing was captured and there is nothing to recover.
Recording exists but has no transcript (often no audio was captured): no transcript (no audio detected).
Not sure Vinyl ever joined: Check if Vinyl joined your meeting.
Mobile app recordings: check Previous Recordings first
Recordings that didn't upload automatically are sometimes held under Previous Recordings in the app.
Open the Vinyl mobile app.
Tap Previous Recordings on the home screen.
If your recording appears, tap it to retry the upload.
If the upload succeeds, the recording appears in your account shortly. Also worth checking the Recovery folder.
Online meeting recordings
There's no manual retry for online recordings. If a Zoom, Teams, or Meet recording errored or didn't process, whether it can be recovered depends on what happened during the call. If Vinyl was admitted and captured audio, it's best to let us investigate and we can usually recover it. If Vinyl was never admitted from the waiting room, or the meeting was declined or deleted, no audio was captured and there is nothing to recover. Reused the same meeting invite for a second meeting?
If you send the same calendar invite twice to schedule two separate meetings (for example, forwarding an earlier invite to set up a follow-up call), Vinyl can have trouble telling the two meetings apart. This can make the recording from the first meeting harder for us to locate.
To avoid this, create a fresh calendar invite for each separate meeting rather than resending an old one. If this has already happened, get in touch using the details below, including both meeting times, and we'll do our best to locate the earlier recording.
